Photography Club Terms and Conditions
Membership Eligibility Membership is open to individuals who demonstrate a genuine interest in photography, regardless of experience level. Applicants must agree to abide by the club’s rules and ethos. Membership approval is subject to the discretion of the club committee. Membership Fees All members are required to pay the designated membership fee upon joining and renew it annually, unless otherwise stated. Failure to pay dues within the specified timeframe may result in suspension or loss of membership privileges. Code of Conduct Members must uphold respectful and courteous behavior during all club-related activities. Discriminatory, disruptive, or abusive behavior towards other members or the public will not be tolerated and may result in disciplinary action. Use of Equipment Any equipment owned or loaned by the club is to be used responsibly. Members are expected to return items on time and in good condition. Damage or loss due to negligence may result in a replacement fee or loss of borrowing privileges. Liability Waiver The club is not responsible for any personal injuries, accidents, or loss or damage to personal belongings that occur during club meetings, outings, or events. Participation in club activities is at the member’s own risk. Photo Rights and Usage Members retain full copyright and ownership of the photos they create. However, by participating in club events or submitting work to exhibitions or publications, members grant the club limited rights to use their photos for non-commercial promotional purposes, with proper attribution. Consent for Photography When photographing people, especially in public or portrait contexts, members are expected to obtain appropriate verbal or written consent. Respect for personal boundaries and privacy is mandatory, particularly when photographing minors or vulnerable individuals. Submission Policy All photo submissions for competitions, exhibitions, or publications must be original and created by the member. Submissions must meet the theme, format, and deadline requirements set by the event organizers. Plagiarism and Misrepresentation Members must not plagiarize, replicate, or falsely claim ownership of others’ work. Any form of artistic dishonesty will be taken seriously and may result in immediate suspension or expulsion from the club. Workshop Participation Club workshops are often limited in space and require prior registration. Participants are expected to arrive on time, respect the facilitator, and follow all instructions to ensure a productive learning environment for everyone. Event Conduct and Safety During club events, members must comply with safety guidelines and event protocols. Disruptive or unsafe behavior will result in removal from the activity and may impact future participation eligibility. Age Restrictions and Parental Consent Members under the age of 18 must provide written parental or guardian consent to join the club and participate in activities. Certain events may have age restrictions based on venue or content. Data Privacy and Confidentiality The club collects personal information such as names and contact details solely for administrative purposes. This data will be kept confidential and not shared with third parties without prior consent, in accordance with data protection regulations. Social Media Conduct Members who post about the club or share club-related content online must represent the club positively and respectfully. Inappropriate use of the club’s name or content that damages its reputation may lead to disciplinary action. Online Communication and Forums Any digital communication platforms, such as messaging groups or forums, must be used responsibly. Harassment, spam, or inappropriate language in these forums will not be tolerated and may lead to removal from the group. Voting Rights and Decision-Making Active members in good standing—defined as those who have paid dues and regularly participate—have the right to vote on key decisions, including leadership elections, major policy changes, and club projects. Leadership and Volunteer Opportunities Members are encouraged to take on leadership or volunteer roles as they become available. Eligibility for such roles may include a minimum membership duration, attendance record, and demonstration of commitment to the club’s mission. Disciplinary Action and Dismissal Repeated violations of these terms and conditions, unethical behavior, or conduct that undermines the club’s values may result in a formal warning, suspension, or permanent dismissal from the club. Refund Policy Membership fees and event registration payments are generally non-refundable. Exceptions may be made at the discretion of the club committee in cases of emergencies or event cancellations initiated by the club.
